How to Automate QuickBooks Desktop

Once it is set up, QuickBooks Desktop can do a good share of routine bookkeeping on its own. These are the six features Intuit documents for it, checked against Intuit’s own help articles on 10/20/2026, with the limits that matter when QuickBooks runs on a hosted cloud desktop like ours.

1. Recurring transactions

Enter the bill, invoice or check once, leaving blank any field that changes each time. Before saving, open the Edit menu, choose Memorize, and select Automate Transaction Entry. Fill in How Often and Next Date, and a Number Remaining if the series should stop. QuickBooks enters the transaction when it is due. Set the Next Date to a day in the future.

2. Bank feed rules

Rules categorize the transactions your bank feed downloads, so recurring spending such as supplies lands in the right account without being sorted by hand each time. In Advanced Mode a rule can match on the description, the memo or the amount, any or all of them, for money in, money out or both. Express Mode rules match on the description. Classic Mode does not use rules; it uses aliases.

3. Batch entry from a spreadsheet

QuickBooks Enterprise and QuickBooks Accountant Desktop can take rows from Excel or a CSV file into the bank, credit card, accounts receivable and accounts payable registers through Batch Enter Transactions. Arrange the spreadsheet columns to match the window, copy the rows, and paste them into the first date field. Names and items QuickBooks does not recognize turn red until you add them. Pro and Premier do not include the feature.

4. Payment reminders

Turn reminders on under Edit, Preferences, Payments, Company Preferences, and set how often QuickBooks should prompt you. Then build a schedule under Customers, Payment Reminders: choose a customer group and how many days before or after the due date each reminder goes. When reminders are due, QuickBooks prompts you to review and send them, and they go out when you do.

5. Scheduled reports, and the hosted catch

QuickBooks Desktop 2018 and later can email memorized reports on a schedule, set up under Reports, Scheduled Reports, Schedule Setup. Intuit’s own article sets narrow conditions: single-user mode only, the computer awake, QuickBooks running with the company file open, an email account set up in QuickBooks, and User Account Control turned off, which Intuit warns is a security risk.

Intuit also says the feature will not work in a multi-user setup or in hosted environments. That includes cloud desktops like ours. On a hosted desktop, memorize the report and send it yourself when it is due, or use an outside app that schedules reports.

6. Connected apps through Web Connector

Many outside apps, QuickBooks Time among them, exchange data with QuickBooks Desktop through Intuit’s Web Connector. The app supplies a .qwc file, which you set up under Manage Web Apps in QuickBooks. Intuit notes that Web Connector can only be installed where the company file is saved, so on a hosted desktop it goes on the host’s side.
