IT Support for Accounting and CPA Firms
Most of an accounting firm’s IT is the same handful of jobs: keep everyone signed in, add and remove staff, keep QuickBooks Desktop and the tax software current, back up the files, and clear a stuck session before a deadline. EEZYCLOUD runs those jobs for firms whose staff work on our cloud desktops.
What we run for a firm
- Cloud desktops on Microsoft Azure. Staff sign in from the office or from home, in a web browser, and work in the same Windows desktop with QuickBooks Desktop, Microsoft 365 and the firm’s other licensed software installed on it.
- QuickBooks Desktop, kept current. QuickBooks Update runs every night in a maintenance window.
- Tax software, kept current. For the tax practice on our desktops today, we install Drake Tax for every year the practice uses and update each installed year every night, outside working hours.
- Daily backups. Azure Backup copies the server that holds client company files every day, and each daily copy is kept for 30 days.
- Measured uptime. We do not quote an uptime percentage. We publish the measured record for each month on our uptime page.
The help desk
The requests accounting firms send us most often: a password reset or a locked account, a new staff member to set up, someone who left to remove, a file restored from backup, a QuickBooks error or a session that will not close, a sync that has stopped.
- Passwords and lockouts for known users are handled automatically, at any hour.
- Staff changes (adding a user, removing one, changing which company files they can open) are made at the request of the people your firm has authorized.
- QuickBooks problems: errors, multi-user mode, a session left open on another desktop.
- Restores of a file or folder from the daily backups.
Hours, and who can ask
Support and service run around the clock. Our support page lists the hours when the full help desk answers every kind of request. Outside those hours the help desk handles access (signing in, passwords, lockouts), and other requests are picked up in the next window.
We act only on requests your firm has authorized. An employee cannot have us pull files or change access while the owner is away; that request waits for the person your firm has named.
Security obligations for tax and accounting firms
Under the FTC Safeguards Rule, tax preparation firms must keep a written information security plan (WISP), and IRS Publications 4557 and 5708 explain what the IRS expects. Our guides cover what a WISP is, the Safeguards Rule checklist, the PTIN renewal question and the annual review. Your firm owns its WISP; the desktops, backups and access rules above are parts of your setup the plan can describe.
